What are KPI Points?

KPI (Key Performance Indicator) Points measure the impact and importance of each task:
• High Points (8-15): Critical tasks like reports, database updates, exam scheduling
• Medium Points (4-7): Important tasks like newsletters, training, planning
• Low Points (1-3): Routine tasks like meetings, supply orders, scheduling

Why this matters: You can see if your team is completing high-impact work or just staying busy with low-value tasks.

Task Management

Create tasks, assign to staff, set deadlines and KPI values. Track progress from "Not Started" → "In Progress" → "Completed".

File Management

Staff upload documents, reports, and deliverables linked to specific tasks. All files are organized and searchable.

Performance Reports

Automated reports show completion rates, KPI distribution, and identify top performers or bottlenecks.

Team Overview

See at-a-glance who's overloaded, who's available, and which departments are meeting their goals.

Deadline Tracking

Getting Started

KPI Tracker helps you measure and improve team productivity. Here's what you need to know:

  • Demo Data is Educational
    All current tasks, files, and users are examples. Delete them when you're ready to add real data.
  • Start with Small Teams
    Begin with 3-5 staff members and simple tasks to learn the workflow before scaling up.
  • Set Clear KPI Values
    High-impact tasks (reports, critical projects) = 8-15 points. Routine tasks = 1-3 points.

Understanding KPI Points

KPI points help you prioritize and measure work impact:

  • Critical Tasks (10-15 points)
    Budget reports, student data updates, regulatory compliance, board presentations
  • Important Tasks (5-9 points)
    Staff training, parent communications, event planning, policy updates
  • Routine Tasks (1-3 points)
    Meeting scheduling, supply orders, calendar updates, basic admin

Task Workflow

Every task follows this lifecycle:

  • 1. Create & Assign
    Manager creates task, sets deadline, assigns KPI points, delegates to staff
  • 2. Work in Progress
    Staff changes status to "In Progress" and can upload files or add comments
  • 3. Complete & Earn
    Staff marks "Completed" and earns the KPI points for their performance record

Reading Reports

Reports help you identify patterns and improvements:

  • Completion Rates
    Low rates may indicate overwork, unclear instructions, or training needs
  • KPI Distribution
    If staff only complete low-KPI tasks, reassign or break down high-value work
  • Overdue Patterns
    Consistent delays may reveal unrealistic deadlines or resource constraints

Best Practices

  • Weekly Reviews
    Check dashboard weekly to catch problems early and recognize achievements
  • Balanced Workloads
    Mix high-KPI and routine tasks so staff feel accomplished and productive
  • Clear Expectations
    Task descriptions should explain what "completed" looks like and why it matters
  • Regular Feedback
    Use comments and face-to-face meetings to support staff, not just track them

Common Mistakes to Avoid

  • Micromanagement
    Don't create tasks for every 30-minute activity. Focus on outcomes, not activities.
  • Unrealistic KPI Values
    Don't make everything high-priority. Save 10+ points for truly critical work.
  • Ignoring Context
